Policies

Publish an approved policy

Confirm the approved version and explicitly release it through the policy publication action.

Before you start

Who this is for: Users with policy-publication permission.

  • The intended policy version must have completed approval.
  • Check the publication handoff and any configured acknowledgement audience.

Follow these steps

  1. Check the approved version

Open the policy and inspect the version that completed approval. Read the lifecycle information rather than relying on a notification alone. Verify that the approved text is the text you intend to make current for readers.

  2. Review publication details

Find the publication action in the lifecycle workflow. Inspect any handoff details and acknowledgement settings relevant to the current version. If revisions are still required, return to the version workflow and obtain approval for the revised content.

  3. Publish deliberately

Choose Publish and read the confirmation dialog naming the version. Confirm the action once you are satisfied with the release. Wait for the result instead of repeatedly clicking while the request is in progress.

  4. Verify the release

Refresh or reopen the policy and check its published-version information. If acknowledgements are required, inspect the generated assignments and audience through the policy's acknowledgement area. Publishing a policy in the workspace is distinct from selecting content for an external Trust Center.

What you should see

The approved version is recorded as published, and any applicable acknowledgement work can be checked separately.

If something doesn’t look right

Publish is unavailable

Confirm both publication permission and approval of the intended version. Ask an administrator to review the displayed lifecycle restriction.

Approval succeeded but the policy is not published

Complete the separate Publish confirmation. Self-approval and delegated approval both leave publication as an explicit step.

The published content is not the expected revision

Check the version identifiers and change history before taking further action. Prepare and approve the correct version rather than assuming a draft save updates the release.
