Work with scoped guest access
Share permitted resources with a named guest and understand what the guest can see.
Before you start
Who this is for: Authorized share managers and invited read-only guests.
- Identify the specific evidence or policy to share and the intended recipient.
- Use an account allowed to manage shares on that resource.
Follow these steps
Create a specific share
Open the permitted resource's Guest sharing area. Enter Guest email and an Expires date where appropriate, then choose Share. Confirm the resource and recipient before saving. A share grants access to the named resource, not general browsing of the organization.
Verify the grant
Check Active grants for the recipient and expiration. Share saved confirms the grant was recorded. Check the separate guest invitation or account-access process with the administrator when the recipient needs access; this status alone does not prove invitation delivery or acceptance.
Use the guest experience
As a guest, enter through the accepted invitation and Shared with me experience. Open only the resources shared with you. Guest sessions are bound to the issuing organization and do not provide a route to switch into unrelated workspaces.
Review and revoke access
Share managers should inspect existing grants when the review ends or the recipient changes. Use Revoke on the specific grant when access should stop, then verify that it is removed from Active grants. Expiration and revocation affect access; they do not imply that the underlying evidence or policy was deleted.
What you should see
The guest has a specific, reviewable resource grant, and its expiration or revocation can be verified.
If something doesn’t look right
The guest sees no resource
Check the accepted email identity, organization, active grant, and expiration.
The guest cannot browse controls or all documents
Read-only guest access is explicitly scoped. Arrange a different authorized role only if the person's work requires it.
The share action is absent
Check resource eligibility and your share-management permission with an administrator.
