Policies
Edit a policy and manage versions
Save a new policy version with a useful change note and review its publication state.
Before you start
Who this is for: Authorized policy editors and policy owners with draft-edit access.
- Open the intended policy and read its current lifecycle state.
- Resolve an active approval lock through the authorized approval workflow before editing.
Follow these steps
Inspect the current version
Open the policy detail and check which version is being displayed, its approval state, and any published version. Read existing review feedback before editing. A published policy can have a different lifecycle position from the draft work you are preparing.
Open the editor
Choose Edit policy content when available. Modify the editable policy text and provide a Change note that explains the material change. If appropriate, use Replacement source file to associate the revised source document with the new version.
Save the version
Choose Save version and wait for confirmation. The editor creates the next version from the current policy text. Reopen or inspect the saved content so you can verify that the intended wording and source file were retained.
Continue the lifecycle
Review the saved version before using Approve myself or Request approval. Approval applies to a particular version, and publication remains a separate action. Do not assume that saving a revision replaces the version readers currently receive.
What you should see
The revised policy is recorded as a new version with a change note, ready for the applicable review and publication steps.
If something doesn’t look right
Edit policy content is disabled
Check whether approval is active. Use the authorized lifecycle actions or ask the approval owner to resolve the lock before editing.
The source file and text differ
Review both and save a corrected version. Imported or replaced files still need a content check.
Readers still see older content
Inspect the published version and complete approval and publication for the intended replacement. Saving a version alone does not publish it.
