Reuse an existing evidence version

Link a known artifact version to another request while preserving its own review context.

Before you start

Who this is for: Contributors who can submit evidence and read the existing artifact.

  • Confirm the existing evidence belongs to this organization and is visible to you.
  • Check its content, version, population, dates, and validity before reuse.

Follow these steps

  1. Open the target request

Read the request that needs support. Expand Reuse existing evidence. For an eligible document-supply test, use Use existing evidence in the Supply evidence workspace. These actions link a version to the current request.

  2. Find the artifact

Enter a useful title term and choose Find evidence, or Search evidence in the test workflow. Review the matching evidence record before selecting it. Similar titles can represent different periods or different documents.

  3. Choose the exact version

Select the version that supports the target request using its version-specific action. Confirm that the document addresses the required population and period. Reusing a newer version is not automatically correct when the request concerns an earlier historical period.

  4. Verify the new submission

Return to the target request and inspect the evidence title, version number, and submission decision. Existing artifact approval does not automatically accept the new requirement. The request still needs its own review where required. Keep the original artifact's history rather than uploading an unnecessary copy.

What you should see

The request references a specific existing evidence version, with the new submission and review state visible.

If something doesn’t look right

Search returns no results

Try a distinctive title word, check the workspace, and confirm evidence-read access. The search cannot discover evidence in another organization.

The selected version is rejected

Read the error and check expiry, scope, and availability. Choose a version that supports this requirement or supply a new artifact.

Approval did not transfer to the request

Artifact approval and acceptance against each requirement are separate decisions. Ask the reviewer to assess the new submission.
