Import vendor or asset records
Map a register, review duplicate behavior, and commit only validated records you intend to create or update.
Before you start
Who this is for: Users with import permission and the required vendor or asset permissions.
- Prepare a supported tabular file and confirm the organization.
- Understand whether the job should only link records or update existing information.
Follow these steps
Choose the import kind
Open the vendor and asset import workflow. Select Vendors only or Asset register with linked vendors as appropriate, then choose the file and Preview import. The asset option requires the relevant asset-import capability.
Review column mappings
Inspect source columns and destination fields. Adjust the mapping where needed and choose Re-preview with mappings. Review the normalized record values and validation issues. If AI mapping is offered, verify its proposal with the same care as a manual mapping.
Choose duplicate handling
Read the strategy before committing. Link existing uses matched records and creates missing ones; Update existing can change matched records; Skip duplicates excludes matching rows; Create new can create duplicates with unique names. Select the behavior that matches the approved purpose of your import.
Commit and inspect the job
Resolve blocking errors and review selected rows, duplicate candidates, and warnings. Choose Commit import only after the preview is correct. Inspect the job's resulting counts and open representative created or matched records to verify identifiers, attributes, and vendor relationships.
What you should see
The import job records its outcome and the intended vendor or asset records are created, linked, or updated according to the selected strategy.
If something doesn’t look right
Commit import is disabled
Check validation errors, selected rows, and mapping issues. Re-preview after changing mappings.
Existing data changed unexpectedly
Inspect the job and chosen duplicate strategy before doing anything else. Update existing is intended to modify matched records.
You need to undo an import
Review the job's supported rollback behavior with an administrator. Do not run a second import or choose rollback without understanding which records and links it affects.
